An Automated Phone System Can Help Your Business Grow

In an increasingly competitive world, automated phone systems afford the user the necessary edge over competitors. Phone systems provide a link that facilitates communication between 2 or more persons. It is not essential that the communication be established between people who are physically present at either end. Occasions often arise when manpower is too precious to be on call to receive communications at every instance. Further, there are times when nothing more is intended than the delivery of a message. In such cases a person need not be deployed to receive incoming messages. This could very well be done by the automated phone system.

It is not only in business, but other specialized fields are also making use of the automated phone system. One such is the field of medicine. Doctors are too busy to remember schedules while administrative staff could be more gainfully occupied in areas where they are indispensable. It is not only doctors who require reminders. Patients are no better. They tend to forget appointments and this causes hardship to both the doctor and the patient. All that was required was a reminder which could have been given by a machine programmed in advance.

As in business and medicine, the student, the librarian, the travel agent or any ordinary home maker would find the phone system indispensable. Sophisticated equipment could be loaded with information recorded in advance. For example, catalogues of books available in the library, books already in circulation, a particular request for a specific book, reminder of when books are due, fines to be leveled or pending payment, are but some of the services the automated phone system could provide to a library. All that is required is that one should have a touch tone phone, a 14 digit library Barcode Number, PIN or Personal Identification Number.

Improved technology has added to the features of a built in recorder. This is a very convenient feature as messages can be left if the person to be contacted is not available. Usually the recorder has a provision for recording 99 messages for a maximum duration of 60 minutes. Furthermore a print out can be taken of the recorded messages, giving exact time and date of the recording. This report can also be available on screen as a visual also.

Certain automated phone systems respond to a touch tone. There are some available that allow storage of phone numbers. These numbers could be assigned special color codes which flash when that number establishes contact. It is like giving a caller a color ID. Other features are the computer telephony integration, the pager and the voice mail.

A fear often voiced is that the automated phone system may not understand what one is saying. To safeguard against this, the caller has the option of requesting for a person to at the other end of the line. This is usually arranged.
